Learn about 6 essential KPIs that we believe every organization should be tracking to boost their organizational performance. These KPIs should drive the outcomes for the North Star Metrics your IT organization has defined.

We’re excited to share our ITAM KPIs lightning course with you. Our instructors, Ashlee Gohdes and Rose-Ann Merulla, will guide you through each KPI – what it is, why it matters, and how to track it.

Topics covered in the ITAM KPIs course:

A few things to consider: Before we get into each KPI, it’s important to take a few considerations into mind. Defining collective KPIs, the importance of a Steering Committe, and using KPIs to encourage correct behaviors are a few.

Tool Coverage. The extent to which the ITAM tool(s) cover all assets in your IT infrastructure.

Software License Utilization. The percentage of purchased software licenses actively in use.

Entitlements Entered into Tool. The count of software publishers’ entitlements compared to the total entitlements in your ITAM tool(s).

Compliance. Only using software that is authorized to use across managed publishers.

Time to Resolve Non-Compliance Issues. The average time it takes to resolve any identified non-compliance issues.

End of Life. Managing IT assets that have reached the end of their useful life or software vendor support.

ITAM KPI #1 – Tool Coverage

What is the Tool Coverage ITAM KPI?

Tool coverage is the extent to which the ITAM tools cover all assets within the organization’s IT infrastructure.

Why this KPI matters.

Tracking tool coverage ensures comprehensive visibility into the IT environment, allowing for accurate assessment and management of assets, costs, and risks.

How it’s tracked.

Compare discovered devices by your ITAM tool to a Secondary Source such as Active Directory available devices.

ITAM KPI #2 – Software License Utilization

What is the Software License Utilization ITAM KPI?

Software license utilization is the percentage of purchased software licenses actively in use across the organization.

Why this KPI matters.

Measuring software license utilization helps organizations optimize their software spending by monitoring and managing the usage of licensed software assets.

How it’s tracked.

Comparing Software Usage Monitoring Tool to Software Entitlements.

ITAM KPI #3 – Entitlements Entered into SAM/ITAM Tool

What is the Entitlements Entered into SAM/ITAM Tool KPI?

Entering entitlements, which are the rights granted to an organization for the use of software, into a SAM tool allows organizations to accurately track and manage their software assets.

Why this KPI matters.

Tracking entitlements is crucial because it provides insight into the completeness and accuracy of license entitlement data. This comparison helps ensure that organizations have sufficient licensing coverage for all software used, reducing the risk of non-compliance, avoiding unnecessary costs, and optimizing software asset utilization.

How it’s tracked.

Comparing a publisher’s entitlements to the total number of entitlements in the SAM tool.

ITAM KPI #4 – Compliance

What is the Compliance KPI?

Compliance is the process of ensuring that an organization is only using software that it is authorized to use across managed publishers.

Why this KPI matters.

Tracking compliance ensures that organizations are using software licenses in accordance with vendor agreements and legal requirements, preventing costly penalties, legal issues, and reputational damage while optimizing software spending and resource allocation.

How it’s tracked.

Comparing installed software to entitlements across all managed publishers .

ITAM KPI #5 – Time to Resolve Non-Compliance Issues

What is the Time to Resolve Non-Compliance Issues ITAM KPI?

The average time it takes to resolve any non-compliance issues identified during internal or external audits.

Why this KPI matters.

Tracking the time to resolve non-compliance issues is critical because it directly impacts the organization’s ability to mitigate risks, ensure regulatory compliance, and maintain operational efficiency, ultimately influencing its reputation, financial standing, and legal standing.

How it’s tracked.

Through the implementation of audit management systems or software that records the date of issue identification and the date of resolution.  This data can be collected manually or automatically depending on the tools used.

ITAM KPI #6 – End of Life

What is the End of Life ITAM KPI?

Managing IT assets that have reached the end of their useful life or vendor support to mitigate security risks and ensure compliance.

Why this KPI matters.

Managing end of life is crucial to mitigate security risks and ensure compliance because outdated assets are more vulnerable to cyber threats, lack essential security updates, and may violate regulatory requirements or vendor agreements, potentially leading to data breaches, financial losses, and legal consequences.

How it’s tracked.

Extracting reports from SAM tools or generating manual reports by cross-referencing installation data with publisher end-of-life reporting sites.

ITAM KPI Dashboard

What is an ITAM KPI dashboard?

The Key Performance Indicator (KPI) Dashboard is a visual representation of key metrics and performance indicators related to IT asset management processes and activities.

Why an ITAM KPI dashboard matters.

It provides stakeholders with actionable insights into the performance and efficiency of their IT asset management processes. By tracking key metrics and performance indicators, organizations can make informed decisions about software and hardware procurement, utilization, license compliance, and overall IT spending, leading to cost savings, risk reduction, and better resource allocation.

How it’s tracked.

Building visual dashboards using business intelligence tools which Anglepoint can assist with.
